| In the Inbox and other table views, the user can quickly see which items have color categories assigned to them by looking at the Categories column. If the user sets a Quick Click category, he or she can assign a default color category to an item by using only a single click. To sort and list items by color category, the user can click the column heading, or they can point to Arrange by on the View menu, and then click Categories. The Categories column (or field) is present by default, but if the user doesn't see it, he or she can add it. One can also move it to a more visible position in the Inbox.

| The existing color categories have generic names, such as Red Category and Blue Category. To easily identify and organize the categorized items, the user can rename the color categories by using names that are meaningful. To automatically assign the color category the user is renaming to items that are selected in the main Microsoft Office Outlook window, select the check box next to the color category in the Name list, and then click OK. The first time that the user assigns an existing color category to an item, he or she is prompted to rename the color category.

Removing a color category from a message removes it only from that item; it does not delete the color category from the main color category list. Besides calendar items, the user can assign color categories to contacts, messages, tasks, notes, and journal items. Color categories connect the calendar items for easy identification. | In Microsoft Office Outlook 2007, categories have colors associated with them and are renamed accordingly as color categories. By associating colors with categorized items and placing the colors prominently in open items, such as contacts, and in table views, such as the Inbox, the user can easily identify and track categorized items. When the user upgrades to Office Outlook 2007 from an earlier version of Outlook, the categories and categorized items are still available. Calendar labels are replaced with color categories.
